Resource Managers or Resource Administrators have permission to view and approve project resource requests.
Click on the Resourcing tab in the navigation menu at the top of the screen. This area provides a full list of all current and historic resource requests, relevant to the Resource Manager (Resource Administrators will see all requests). Click on the project name to see some high-level project information i.e. aims, project team.
To review a request, click Edit.
Viewing a Resource Request
The full resource request will be displayed on screen and will be identical to the form completed at the project level. Note: Resource Managers cannot change the job family/role selected, if this is an error the request must be set back to ‘draft’ for the requestor to make the update. Changing the request back to ‘draft’ will send the request back to the requestor with a notification.
To look for available resources, click Actions > Search Resources.

On the next screen a heatmap will be shown. The requested WTE requirements will be displayed at the top of the screen in red, illustrating no resource has been allocated yet.
Below, all individuals who match the criteria specified in the request will be listed i.e. everyone who has availability and either sits under the job family or the specific role requested. Any users with a figure in brackets next to their name i.e. (0.50) will not be a full-time employee.
Each resource will have a colour per month which links to their overall remaining availability:
- Green: 0-24% allocated
- Amber: 50 - 75% allocated
- Amber/Red: 76 - 99% allocated
- Blank - The resource has no availability for the month.
Click on the figure in the top left-hand corner of a month to see where else the individual has been allocated.
How to allocate resources
Select a resource by clicking on the checkboxes in the months you require them to work on the resource request, multiple resources can be selected. As you select a resource the red WTE banner at the top of the heatmap will turn green to show full allocation or amber if only partially allocated.
Once all resources have been selected, click ‘OK’. The allocated resource will then be shown under the ‘Resource Profile’ section.
To complete the process and generate a notification to both the allocated individual(s) and original requestor, click Actions > Allocate.
Note: If a request is only partially allocated Verto will give a warning message.
Top Tip
- Resource Managers cannot change the job family/role selected in the submitted request. If this is an error, the request must be set back to draft (Actions > Set to Draft) for the requestor to make the update.
- A users FTE can be recorded against their user profile. This will then be reflected in their monthly availability.
